Sales tax here works from two sources: the books, and the cash you count at the end of the day. Bank deposits are used to prove those figures and are never added to them, because a card batch and the sales inside it are the same money seen twice, and counting both would double the return.

The reconciliation runs the test a revenue auditor runs first. Total the credits, take out what was not a sale, allow for the movement in cash on hand, and compare the remainder to what the books say was collected. An unexplained excess is treated as unreported sales, which is the reading a state takes.

This system does not file. It works out what is owed, proves it, and hands you the figures in the order the state asks for them.

How to work this page

Record where you collect

The state, the combined rate, the filing frequency and the due day, taken from the notice the state sent you. The due day is left blank until you enter it rather than assumed, because a period dated by guess is worse than one left undated.

Enter the day's cash

The till total as it reads, with the tax still inside it. The tax is worked back out by division, once, so net and tax always sum back to what you typed. Also record what is left in the drawer at close.

Explain any deposit the system cannot place

Each unexplained credit carries its own control in the row where it sits. Six choices: a sale, from your own account, loan money, money you put in, a refund coming back, or something else.

Read the reconciliation as a subtraction

Everything that came in, less what was not a sale, less cash still on hand, against what the books say was collected. The difference is stated plainly and is either nothing or a finding.

Questions people actually ask

Why does cash left in the drawer matter?

Money collected and not yet banked would otherwise read as a shortfall against your deposits. The movement in cash on hand is part of the expectation, so takings held back are not a discrepancy.

What about DoorDash and similar?

Under marketplace facilitator law they collect and remit. Those sales are reported as gross on the return and then deducted, which is exactly how the worksheet lays them out. They are excluded from the deposits test because the payout arrives net of commission.

Does it handle accrual and cash basis?

Per registration, not per business. New York requires accrual for sales tax even from a business keeping its books on cash, so the basis is a property of the state you are registered in.
